Short answer
If you are flying into Austin for a conference, trade show, activation, meeting, festival, or corporate event, you can send your print and signage files to Brandon Greene at AlphaGraphics before your team arrives. Local production can remove the need to fly with signs, ship fragile graphics across the country, or discover a missing item after setup starts.
What you can send ahead
- Banners and rigid directional signs
- Foam board, PVC, and mounted graphics
- Badges, credentials, name tents, and table tents
- Programs, agendas, handouts, and booklets
- Sponsor signs and stage-support graphics
- Window and wall graphics
- Backdrops and display graphics
- Menus, QR signs, and hospitality materials
- Last-minute replacement or corrected pieces
The information I need with the files
- Event name and venue
- Your arrival date
- The date and time materials must be ready
- Quantity and finished size for each item
- Material or finishing specification when known
- Print-ready artwork or editable source files when changes may be needed
- Pickup, hotel delivery, venue delivery, or installation instructions
- On-site contact and cell number
Do not wait until the plane lands to explain the deadline
If your team is traveling, include the actual setup window and event start time when you send the files. A project that is needed by 4 p.m. for a 6 p.m. setup is very different from something needed sometime that week. The earlier the production team sees the hard deadline, the better the options are.
Hotel and venue coordination
For qualifying projects, local delivery or installation requirements can be reviewed with the quote. If materials are going to a hotel, convention venue, office tower, restaurant, or event site, include the exact receiving instructions, contact name, room or loading information, and any access window.
If something changes after you arrive
Events change. Speaker names, sponsor logos, room assignments, quantities, and schedules can move after the original order. If a correction is needed, send the updated file, identify exactly what changed, and state the new hard deadline. Rush feasibility depends on material, quantity, equipment availability, approval time, and installation requirements.
